Accounting Assistant

Position Duties and Responsibilities:

  • Work with the department’s accounting manager who is the liaison for financial reporting to Robinson-Humphrey Executive Department and Salomon Smith Barney’s Capital Markets Accounting Department;
  • Revenue tracking and reporting;
  • Billing and collections;
  • Expense recognition:
  • Accounts payable;
  • Maintaining the department’s current and historical database for all contacts and transactions;
  • Preparing and distributing weekly and monthly P&L; estimates;
  • Record keeping, invoicing and collection of all transaction fees and expenses;
  • Processing of department payables (general invoices and T&E;’s);
  • Coordinating month-end closing which includes financial reporting, control monitoring, e.g., funds received and disbursed, recoverable expenses, and accruals for payouts;
  • Ensuring internal audit compliance is maintained for all client deal files.

Qualifications:

  • BS/BA in Accounting or Finance related curriculum OR 2-3 years of Accounting experience in a related industry preferred;
  • Strong paralegal skills required;
  • Strong PC skills (Microsoft Office Suite – Access required);
  • Strong problem solving skills;
  • Must be a self-starter and able to work independently;
  • Must be able to communicate clearly and effectively;
  • Must be extremely well organized and accurate;
  • Must be capable of handling multiple tasks and able to work in an environment of changing priorities.

Administrative Assistant

Position Duties and Responsibilities:

  • Provide secretarial and word processing services to assigned Bankers, including the preparation of general correspondence, memorandums, presentations, and other documents;
  • Prepare Investment Banking documents, books, proposals, presentations, etc., including photocopying, collating, and binding;
  • Maintain accurate filing and record keeping systems for assigned Bankers according to departmental guidelines and procedures;
  • Answer telephones and handle calls for assigned Bankers. Communicate accurate messages in a timely manner; serve as telephone back up for other Assistants;
  • Open, review, and distribute all mail, memorandums, research reports, publications, etc. for assigned Bankers;
  • Perform various research and administrative tasks as assigned;
  • Prepare mass mail-outs, including envelopes, labels, courier vouchers, and FedEx labels;
  • Perform general clerical duties, including scheduling meetings and appointments, coordinating heavy travel arrangements, and coordinating research and print shop requests;
  • Prepare travel and expense reports as well as other administrative reports for assigned Bankers;
  • Maintain and report on Banker’s daily and weekly schedules;
  • Perform other administrative duties as assigned;
  • Assist Investment Banking Department with various volunteer activities.

Qualifications:

  • Knowledge of all basic secretarial skills, including but not limited to communication skills, travel arranging, expense reports, document production, and word processing.
  • Proofreading and editing skills, including grammar, spelling, punctuation; detail-oriented;
  • Able to work independently and under pressure;
  • Excellent problem-solving skills;
  • Able to handle heavy telephone coverage;
  • Able to work well with others;
  • Must have experience supporting more than one person at a time;
  • Must have previous experience as an Executive Secretary/Administrative Assistant or experience working with senior level executives;
  • Knowledge of Windows ’97, including:
    Microsoft Word 6.0
    PowerPoint 4.1
    Excel 5.0
    ACT! 2.0
    PC Docs
    Access.
  • College degree, or equivalent work experience preferred.
